1. Introduction
Hublvu, Inc. ("Hublvu," "we," "us," or "our") is committed to protecting the privacy of our enterprise customers and their authorized users. This Privacy Policy describes how we collect, use, disclose, and safeguard information when you use the Hublvu platform (the "Service") available at hublvu.ai.
Hublvu provides enterprise AI-powered solutions for IT, networking, and telecommunications operations. We sell exclusively to other businesses and enterprises ("Customers") through negotiated contracts. This Privacy Policy applies to our enterprise Customers and their authorized end users ("Users").
By accessing or using the Service, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you are using the Service on behalf of an organization, you represent that you have authority to bind that organization to this Privacy Policy.
2. Definitions and Data Categories
We categorize the information we handle into distinct categories with different handling requirements:
2.1 Customer Data (Service Data)
Customer Data refers to information that Customers submit, upload, or transmit to the Service for processing. This includes network information, system logs, support tickets, messages, and other operational data related to IT and network troubleshooting. Customer Data is owned and controlled by the Customer.
2.2 Account Data
Account Data includes information provided during account creation and administration, such as names, email addresses, job titles, company information, and billing details of Customer contacts and authorized Users.
2.3 Usage Data
Usage Data refers to information about how Customers and Users interact with the Service, including feature usage, system performance metrics, error logs, and debugging information collected for troubleshooting purposes.
2.4 AI Interaction Data
AI Interaction Data includes records of conversations and interactions with AI features within the Service. This data is retained solely for Customer use (such as displaying conversation history) and is not used by Hublvu for training AI models or any other purpose beyond providing the Service to the Customer.
3. Information We Collect
3.1 Information Customers Provide
- Account Registration: Contact information for Customer administrators and authorized Users, including names, email addresses, job titles, and company information.
- Billing Information: Payment and invoicing details as specified in the Customer's service agreement.
- Customer Data: Network logs, support tickets, system information, messages, and other operational data that Customers choose to process through the Service.
- Communications: Information provided when contacting our support team or communicating with us regarding the Service.
3.2 Information Collected Automatically
- Usage Information: How Users interact with the Service, including features accessed, actions taken, and timestamps.
- Device and Browser Information: IP addresses, browser type, operating system, and device identifiers.
- System Logs: Debug and error logs collected system-wide for troubleshooting and maintaining Service reliability.
- AI Interactions: Records of conversations with AI features, maintained for Customer access to conversation history.
3.3 Information from Third Parties
We may receive information from third-party integrations that Customers enable, identity providers for single sign-on authentication, and business partners in connection with sales and service delivery.
4. How We Use Information
4.1 Customer Data
We process Customer Data solely as a data processor on behalf of our Customers, in accordance with Customer instructions and our service agreements. We use Customer Data to:
- Provide, operate, and maintain the Service
- Perform AI-powered analysis for IT and network troubleshooting
- Generate insights and recommendations as part of Service functionality
- Respond to Customer support requests
We do not use Customer Data to train AI models, for marketing purposes, or for any purpose beyond providing the contracted Service to the Customer.
4.2 Account and Usage Data
We use Account and Usage Data as a data controller for the following purposes:
- Managing Customer accounts and User access
- Processing billing and payments per contractual terms
- Communicating about the Service, including technical notices and updates
- Providing customer support
- Monitoring and improving Service performance and reliability
- Debugging and troubleshooting system issues
- Ensuring security and preventing fraud
- Complying with legal obligations
4.3 Aggregated and De-identified Data
We may create aggregated or de-identified data that cannot reasonably be used to identify any individual or Customer. Such data may be used for product improvement, industry benchmarking, and research purposes.
5. AI and Machine Learning
5.1 How AI Features Work
The Hublvu platform includes AI-powered features to assist with IT and network troubleshooting. When Users interact with these features:
- Prompts and queries are processed to generate responses
- AI interactions are recorded to provide conversation history to the User
- Processing occurs within secure, isolated environments
5.2 Data Not Used for Training
Customer Data and AI Interaction Data are not used to train, improve, or develop Hublvu's AI models. Your data remains yours and is used solely to provide the Service to you.
5.3 Data Protection in AI Processing
We implement technical safeguards to protect data during AI processing, including logical isolation between Customer environments and encryption of data in transit and at rest.
6. How We Share Information
6.1 We Do Not Sell Personal Information
Hublvu does not sell, rent, or trade personal information or Customer Data to third parties for their marketing purposes.
6.2 Service Providers (Subprocessors)
We engage trusted third-party service providers to assist in delivering the Service. These subprocessors are contractually bound to protect data and may only process it according to our instructions. Categories of subprocessors include:
- Cloud infrastructure and hosting providers
- Customer support and communication tools
- Payment processors
- Security and monitoring services
A current list of our subprocessors is available upon request. We will provide notice to Customers before engaging new subprocessors, allowing Customers to object pursuant to the terms of our Data Processing Addendum.
6.3 Legal Requirements
We may disclose information if required by law, regulation, legal process, or governmental request, or when we believe disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
6.4 Business Transfers
In the event of a merger, acquisition, reorganization, or sale of assets, information may be transferred as part of that transaction. We will provide notice before personal information becomes subject to a different privacy policy.
7. Data Security
We implement comprehensive technical and organizational measures to protect information, including:
- Encryption: Data encrypted in transit (TLS 1.2+) and at rest
- Access Controls: Role-based access with principle of least privilege and multi-factor authentication
- Infrastructure Security: Secure cloud infrastructure with network isolation
- Monitoring: Continuous security monitoring and logging
- Incident Response: Documented procedures for security incident detection and response
- Employee Training: Regular security awareness training for personnel
We maintain SOC 2 Type II compliance and undergo regular security assessments. Detailed security documentation is available to Customers under NDA.
8. Data Retention
8.1 Customer Data
Customer Data is retained for the duration of the Customer's service agreement. Upon termination or expiration of the agreement, Customer Data will be deleted in accordance with the terms of the agreement, typically within 30 days, unless a longer retention period is required by law or requested by the Customer.
